Importing a rent roll

Last updated: November 4, 2026

Use the Resident Data Manager to add or update many residents at once from a CSV file. It's the recommended way to keep your resident list in sync with your property management software, or to change more than a handful of residents.

Available on: Enterprise package, which includes resident registration.

Before you start

  • Export your rent roll as a CSV (.csv) file.

  • Optional: Download the CSV template from the Resident Data Manager so your columns match.

  • Make sure the file includes required fields, such as name and address.

Steps

  1. In the left navigation, select Resident Data Manager.

  2. If you need it, download the CSV template.

  3. Drag your completed CSV file into the upload area.

  4. Confirm the column mapping. Check that each column in your file matches the right field, such as:

    • Address

    • Building

    • First Name and Last Name

    • Email and Phone Number

    • Lease Expiration

    • Future Move-In Date and Future Move-Out Date

  5. Review the imported records once the upload finishes, and make any changes.

  6. Confirm the import.

What happens next

The residents in your file are added or updated in ParkingPass. You can review and edit their records after the import, and upload again later as lease or move dates change.

Important notes

You can use the Resident Data Manager to:

  • Add new residents from a rent-roll export.

  • Update existing residents' lease dates, contact details, and future move-in or move-out dates.

  • Edit lease terms in bulk, including month-to-month leases.

  • Compare your ParkingPass resident list against your property management software each month.

Troubleshooting

  • If the file won't upload, check that it's saved as a CSV (.csv) file and that the column headers match the template.

  • If records are missing details, make sure required fields like name and address are in the file, then upload it again.

  • If it still doesn't work, email support@parkingpass.com with your community name and a screenshot of what you're seeing.
