How automated notifications work
Last updated: November 4, 2026
ParkingPass sends routine emails, and some text messages, to residents on your community's behalf. Knowing what's sent automatically helps you avoid duplicate messages and answer "did anyone tell me?" questions.
How it works
ParkingPass sends five types of automated notifications. Each goes to the email and phone number on the resident's profile.
Lease expiration notices
When a resident's lease nears its end date, ParkingPass sends reminders. They warn the resident that their lease, and their parking authorization, is about to lapse. The same data appears in the Lease Status widget on your dashboard. Once the lease is renewed, the reminders stop.
Permit expiration reminders
Permits have their own expiration dates, separate from leases. Residents get a series of reminders before their permit expires so they can renew in time. The date appears in the Parking e-Permit Expiration column of the resident's My Vehicles page. Renewing stops the reminders.
Guest pass reminders
For each active guest pass, ParkingPass sends three reminders before it expires, plus a final notice when it expires. All four go by email and text message. They go to the resident host, not the guest, because the host can extend or renew the pass. See How guest pass expiration reminders work.
Payment receipts
When a resident pays for anything, like a permit, an add-on, or a paid guest pass, ParkingPass emails a receipt. The receipt also appears in the resident's portal under Payment System → Payment History. Refunds get a separate refund receipt.
Violation notices
When a violation is recorded against a registered vehicle, ParkingPass notifies the resident. The notice describes the violation, the vehicle, and the action taken, like a warning, citation, boot, or tow. For a vehicle on a guest pass, the host resident gets the notice. Unregistered vehicles can't be notified because they have no account.
Who can use it
Residents receive these notifications and choose their channels.
Property managers can check what was sent in each resident's logs.
Where to find it
Open a resident's profile and use Quick Actions to view the Email Log or SMS Log. See Email and SMS logs overview.
What you can do with it
Confirm whether a resident was notified — see Email and SMS logs overview.
Plan your own messages around the automated ones, so residents don't get duplicates.
Answer common resident questions — see Automated notification FAQs.
Channels
Most notifications go by email. Some, like guest pass reminders, also go by text message. A few may use voice or push notifications, depending on the resident's preferences and your community's settings.
Residents choose their channels in Update My Info in their portal. The Email Notifications, SMS Notifications, Voice Notifications, and Push Notifications labels on a resident's profile show which channels are on.
What ParkingPass doesn't send
Send these yourself:
Community announcements, like lot resurfacing, new rules, or holiday schedules.
Ongoing orientation messages. ParkingPass sends the first invitation, but no "here's how things work" follow-ups.
Dispute follow-ups. ParkingPass records the approval or denial. Following up with the resident personally is up to you.
Board updates at HOAs. Automated notifications go to residents, not the board.
Patrol partner coordination. That happens directly between you and your patrol partner.
Important notes
Timing, like how many days before expiration and how many reminders, is set by ParkingPass and varies by type. Each resident's Email Log and SMS Log show what was actually sent.
Outdated contact information stops every notification type. Keep residents' email addresses and phone numbers current.
A resident with text messages turned off still gets emails. A resident with both turned off gets almost nothing.
Guest pass reminders apply only where guest registration is available, which is the Enterprise package.
