Property manager routine checklist

Last updated: November 4, 2026

This checklist lays out the daily, weekly, and monthly tasks that keep your parking program running smoothly. If you're new to ParkingPass, start with How to set up your first week in ParkingPass.

Every day (about 5 minutes)

Open your dashboard and work through these widgets in order:

  1. What's New: skim updates from the ParkingPass team for changes that affect your work.

  2. New Resident Applications: approve or decline pending residents. Applications decline automatically after 10 days. See Reviewing a new resident application.

  3. New Vehicle Applications: residents can't park until you approve. See Additional vehicle requests.

  4. Vehicle Change Requests: treat these with the same urgency as new vehicles. See Editing or replacing a resident vehicle.

  5. Lease Status: update any newly expired leases. See Updating a resident's lease expiration date.

  6. Last Patrol (Days Ago): confirm patrol is on schedule. If the number keeps climbing, contact your patrol partner or check your self-patrol schedule.

  7. Violations Past 7 Days: watch for unusual jumps.

If every widget shows zero and there's no Action Required badge, nothing needs your attention today. See How Action Required widgets work.

Every week (15 to 30 minutes)

  1. Review expiring leases. Contact residents whose leases expire within 30 days so renewals don't surprise them. See Updating a resident's lease expiration date.

  2. Schedule upcoming move-outs. ParkingPass then handles each transition on the right day. See Scheduling a future move-out.

  3. Review Patrol Analytics. Check last week's violation heatmap, trends, and frequent violators. See Patrol analytics – understanding your community enforcement activity.

  4. Clean up patrol holds. Remove holds you no longer need so enforcement resumes correctly. See Placing and managing patrol holds.

  5. Audit the Do-Not-Tow list. Remove employees, contractors, and temporary protections that are no longer needed. See Managing the Do-Not-Tow (DNT) list.

  6. Respond to open citation or tow disputes. Disputes have deadlines, and unresolved ones can affect the outcome. See Handling tow and violation disputes.

Every month (30 to 60 minutes)

  1. Reconcile your resident list. Compare it with your property management software's rent roll. Use the Resident Data Manager for bulk updates. See Importing a rent roll.

  2. Check your Resident Occupancy Rate. A falling rate usually means new residents aren't registering. Consider sending another round of invitations. See Inviting a new resident.

  3. Review guest pass usage. Guest patterns show whether your settings are working or being overused. See How guest parking settings work.

  4. Review Revenue Share statements. If your community uses Revenue Share, confirm the monthly payout looks right. See How Revenue Share payouts and statements work.

  5. Update parking rules if needed. Rule changes are coordinated with ParkingPass Support. See Updating parking rules.

  6. Review your staff list. Remove team members who no longer need access. See Adding additional property management users.

  7. Update billing information if anything has changed. See Updating property billing information.

Important notes

  • This schedule is a guideline. Adjust it to your community's size and your team's capacity.

  • If you manage more than one community, follow this routine for each one. The dashboard shows whichever community is selected.

  • Parking rule changes, patrol partner changes, and billing updates are coordinated with ParkingPass Support. Use the Contact Support banner on your dashboard or email support@parkingpass.com.
